Office Manager

The Office Manager position corresponds to a junior profile in charge of setting up and overseeing the local office (assistant, drivers). The Office Manager will also play a key role in the administrative and financial management of the project and will report to the Project Coordinator on a daily basis; 

The Office Manager will be employed by CIVIPOL and report to CIVIPOL HQ based in Paris. A senior project manager will be designated internally, provide support and travel to Khartoum on a regular basis. 

Main duties: 

-          Contributing to the roll-out of activities on a daily basis, under the supervision of the Project Coordinator

-          Assisting the Project Coordinator whenever necessary, in particular in relation to procurement and legal issues

-          Liaising with the beneficiary institutions, suppliers and experts

-          Accounting duties: supervision of the bank account opened for the project and petty cash

-          Controlling and financial forescast, under the supervision of the Project Coordinator

-          Management of logistics with the support of the local office team as many international experts will come into play during the course of the project

-          Proofreading reports

-          Arranging the work schedules of the assistant and drivers and overseeing their daily work:

-          Clerical tasks, such as arranging letters written by the assistant, preparing memoranda, checking invoices and other indexed documents

-          Devising office systems, including data management and filing; to be maintained by the assistant on a daily basis.

-          Ordering supplies

On a daily basis, the Office Manager reports to the Project Coordinator, who sets out the priorities and monitors the work. Aside from formal reports, S/he provides information on an ad hoc basis to the EU Trust Fund and project stakeholders..

The Office Manager also has to work closely with

-          The Technical Director

-          The two Technical Advisors

-          The foreign experts that will contribute to the project

-          The accountant and the drivers

-          CIVI.POL Conseil, as represented by the senior project manager, in particular when it comes to accounting and contract matters. The project manager will also make sure that the applicable EU procedures are followed.


Qualification and skills :

  • Master Degree in a discipline related to economics, development or security Experience working in international teams
  • Command of English, spoken and in writing 
  • Ability to communicate in French and/or Arabic is an asset
  • Ability to adapt fit in complex environments

Professional experience :

-          At least 2 years of professional experience
-          Work experience or Life experience in the Horn of Africa is an asset
